Start from a brief

Paste something like this.

"We're relocating our 45 person marketing agency from our current Shoreditch office to a bigger 6,000 sq ft space on the other side of the city, and we need to be in by the end of September when our current lease ends. There's a fitout to sort, new internet and phones, furniture and the actual move, and we can't afford to lose more than a day or two of work. I'm the operations manager running this on top of my normal job, with some help from IT and our facilities coordinator."

That is the before. Here is the plan Ganttastic builds from it.

  1. 1

    Planning & requirements

    • Define move objectives, headcount and 3 year growth projection
    • Set the move budget and secure leadership sign off
    • Form the project team and appoint move champions per department
    • Draft the space brief: sq ft, meeting rooms, collaboration and quiet zones
    • Confirm notice period, break clause and dilapidations liability on the current lease
  2. 2

    Site search & lease

    • Engage a commercial property agent and shortlist buildings
    • Tour sites against requirements: power, connectivity, access, parking, amenities
    • Negotiate heads of terms, rent free period and incentives
    • Run legal due diligence and review the lease and service charge
    • Sign the lease and confirm access and occupation dates
  3. 3

    Design & fitout

    • Commission a test fit, space plan and seating layout
    • Appoint the fitout contractor and agree the works program
    • Obtain landlord license to alter and any building or planning permits
    • Carry out fitout: partitions, electrical, HVAC, lighting and decoration
    • Complete snagging and sign off the handover inspection
  4. 4

    IT, telecoms & AV

    • Order internet circuits / leased line early (8 to 12 week telco lead time)
    • Design and install structured cabling and the comms room
    • Procure and configure network, Wi-Fi, phones and meeting room AV
    • Plan server and equipment migration and the cutover window
    • Test connectivity end to end and confirm go live readiness
  5. 5

    Furniture & logistics

    • Specify and order desks, chairs and storage, allowing for lead times
    • Appoint the removals company and agree the moving day plan
    • Produce floor plans, desk labels and a crate labeling scheme
    • Update the address everywhere: website, Google, bank, insurers, stationery
    • Arrange insurance, access passes and loading bay/parking for move day
  6. 6

Move, go live & old site exit

    • Pack, move and install over the moving weekend
    • Set up desks and test every workstation and phone before Monday
    • Run staff induction: wayfinding, health and safety, desk and locker allocation
    • Decommission the old site and complete dilapidations / make good works
    • Take final meter readings, hand back keys and reconcile the deposit

Key dependencies

  • The lease must be signed before you can lock the fitout design or mobilize contractors, and the approved test fit / space plan has to precede furniture orders and the cabling layout.
  • Internet circuits and leased lines are the critical path, so order them the day the lease completes, because telcos routinely need 8 to 12 weeks to install, and the network and structured cabling must be live before desks can be tested and staff can go live.
  • Base building works and the landlord's license to alter also gate the start of any fitout.
  • Dovetail your old lease notice and dilapidations with the new occupation date so you keep a short overlap rather than handing back keys before the new space is ready.

Timeline risks

  • Office moves slip most on long lead items such as telecoms circuit installs, landlord approvals, custom furniture and base building works, so order connectivity and desks the moment the lease completes and track them weekly.
  • Fitout programs overrun during snagging, so build two to three weeks of contingency before your move date and never hand back the old space until the new one has passed a full IT and workstation test.
  • Move over a weekend or holiday and keep a few days of dual occupancy as a fallback so a slipped task never costs you a working week.
