These are the habits that keep Ganttastic plans useful after week one. Plan in phases before you add detail, set the work calendar before dates matter, capture a baseline when the plan is approved, keep a backup before big changes, and let the AI do the first draft while you do the judging.

Each tip stands alone, so skim for the ones that fit how your team works.

Start with phases, then break work down

Resist the urge to list every task first. Create 5 to 8 phase level tasks that describe the whole project, put them in order, and only then break each phase into sub-tasks. Ganttastic supports one level of sub-tasks, which keeps plans readable and matches how you will report progress later. The basics are covered in working with tasks.

While you are structuring the plan, name milestones for outcomes. "Design approved by client" tells everyone what done means. "Phase 1 complete" does not.

Set the work calendar before you add tasks

Task durations are calculated against working days. Open Project Settings, go to the Work Calendar tab, and set the Work Schedule (working days and holidays) before the plan fills up. Retrofitting the calendar later reschedules existing tasks, so dates will shift.

Let the AI wizard write the first draft

The Build with AI wizard turns a short brief into a full draft plan, which is the fastest way past a blank page. Two habits make it work better. First, fill in the project description in Project Settings, because the AI reads it for context. Second, pick a framework in the wizard if you know which one fits your project, or choose Not sure and let the AI decide.

Capture a baseline when the plan is approved

The moment your plan is approved, click Set Baseline in the toolbar. The baseline freezes the approved dates as your reference. From then on, the Show Baseline toggle draws the original bars behind the live ones, so drift is visible instead of arguable.

This also changes how status meetings run. Present from the live chart with the baseline showing, and the gap between planned and actual bars tells the story without slides. Re-baseline only when scope genuinely changes. How variance reads is covered in baselines and variance.

Update progress on a weekly rhythm

A plan updated weekly stays trusted. A plan updated "when there is time" quietly dies. Pick a fixed cadence, Friday afternoon works well for most teams, and have each person update their own items from the My Tasks view, which collects the tasks from their active projects in one list.

Stakeholders who only need to see status do not need accounts or invites. Open the Share dialog and use Get shareable link to create a public link: anyone who has it sees a live, view only version of the chart, with assignee names and task notes hidden. Add a password or an expiry date for sensitive plans. Details are in share and collaborate.

Keep a safety net: undo and .gwise backups

Ganttastic gives you two safety nets. In the moment, Ctrl+Z (Cmd+Z on Mac) undoes your last change, up to 30 steps per project, and when an edit cascades through dependent tasks, a toast reports how many tasks were rescheduled and offers an Undo button.

Undo history lives only in your current session, though. Before any big change (a re-baseline, a mass delete, a large AI restructure), use Export to .gwise. The file holds the whole project and can be imported again as a new project if anything goes wrong. More in export your project.

Run a what-if before you commit

Before you agree to a scope addition, an earlier delivery date, or a resource change, ask the AI Command Bar to stress test it. A prompt like "what if Phase 2 slips by a week?" returns concrete date and task effects in the Impact Analysis panel, which is a better basis for a decision than instinct.
